The primary function of the Membership Coordinator is to ensure that APTA members receive excellent customer service. This individual reports to the Director-Membership and offers support as appropriate across the department.


Specific duties and responsibilities may include but are not limited to the following:

  • Timely responsiveness to and resolution of general membership questions on status, meetings, dues, address and contact changes, services and benefits, and other matters arising from membership and participation in the Association;
  • Assists members with the use of MyAPTA and e-web functionality including encrypting their passwords and instructing them on how to access their member-only protected resources;
  • Acknowledges resignations/suspensions with letters and exit questionnaires; identifies critical issues and confers with the Director-Membership to devise methods for their resolution;
  • Prepares new member information used in Passenger Transport announcements;
  • Serves as data provider and liaison to third party vendor managing the online Buyers’ Guide;
  • Assists the Sr. Program Manager-Membership with providing requested member information from association management system (AMS) to APTA staff;
  • Assists with prospect inquiries for information on association services and benefits, including providing both oral and written information on the definition of membership categories, dues quotes as well as application and approval procedures;
  • Supports the Director-Membership with the Membership Committee as needed;
  • Enters membership updates to AMS;
  • Assists meetings team with customer service inquiries related to event registration and ensuring registrants’ information is updated properly in AMS; and
  • Supports all membership activities as needed.


  • The degree to which APTA members and customers receive excellent customer service;
  • The degree to which membership database records are maintained accurately and in a timely fashion;
  • The timely response to member inquiries generated through email and e-web as well as the resolution of those problems in membership database records;
  • The timely review and update of member information to ensure the accuracy of the member information contained in the online member directory; and
  • The degree to which internal customers (i.e., APTA staff) receive requested information in a timely and satisfactory fashion.


Requirements include: Bachelor’s degree coupled with minimum of 3 years’ professional experience, preferably with an association; strong organizational, communication, administrative, and customer service skills; and proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Experience working with association management systems is preferred and experience with netForum is a plus.

Performance of duties requires the use of hands and fingers to handle or feel. The job frequently requires ability to stand, walk, sit, reach with hands and arms, and talk or hear. Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
